Auvix Commerce Systems is a trading division of Auvix Technologies Limited ("Auvix", "we", "us"), a company registered in England and Wales. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Auvix Technologies Limited is the controller of personal data described in this policy.

2. Information we collect

Enquiry-form data

When you use our contact form, call or email us, we collect the information you provide: name, work email, telephone number, company, existing website, current platform, project type, approximate product count, required integrations, estimated budget, desired launch period and your project details.

Customer and project information

If you become a client, we process information needed to deliver the engagement: contact details of your team, contractual and billing information, and the project materials you share with us. Where a project involves your systems (for example a store, catalogue or customer database), we may access personal data contained in them on your instructions; in that context you are typically the controller and we act as a processor under the terms agreed with you.

Technical and analytics data

Our hosting infrastructure records standard technical logs (such as IP address, browser type and pages requested) for security and operation. Optional analytics run only with your consent via our cookie preference centre — see the Cookie Policy. At the date above, no optional analytics service is loaded on this site.

3. How and why we use information

• Responding to enquiries — to reply, scope work and prepare proposals. Lawful basis: our legitimate interests in responding to correspondence you initiate, and your consent given via the enquiry form.
• Delivering services — to perform a contract with you or take steps you request before entering one.
• Administration and legal compliance — accounting, record-keeping and complying with legal obligations.
• Site security and improvement — legitimate interests in keeping the site secure and understanding how it is used (analytics only with consent).

We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.

4. Payment providers and third-party platforms

We do not take card payments through this website. Where a project involves online payments, transactions are handled by the payment provider you select (for example Stripe or PayPal) on that provider's own systems, under its own terms and privacy notice; if a checkout redirects you to a provider, your payment details are supplied to them, not to us. Similarly, commerce platforms, apps and hosting services used in your project (for example Shopify or WooCommerce hosting) process data under their own notices — we recommend reviewing them.

5. Sharing

We share personal data only with: service providers who support our business (such as email, document and hosting suppliers) under appropriate safeguards; third-party platforms and tools engaged for your project on your instructions; and professional advisers or authorities where required by law. Where data is transferred outside the UK, we rely on recognised safeguards such as adequacy regulations or standard contractual clauses.

6. Retention

Enquiry correspondence is kept for as long as needed to handle the enquiry and for a reasonable period afterwards in case you return to the conversation. Client and contractual records are retained for the duration of the relationship and thereafter as required for legal, accounting and insurance purposes (typically up to six years). We delete or anonymise data when it is no longer needed.

7. Your rights

Under the UK GDPR you have rights to access your personal data, to rectification, to erasure, to restriction, to data portability, to object to processing based on legitimate interests, and to withdraw consent where processing relies on it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority — see ico.org.uk — though we'd welcome the chance to resolve any concern with you first.
